Responsibilities

  • Coordinate meetings with clients across various schedules for pre- and post-sale engagements such as kick-off meetings and workshops.
  • Coordinate meetings for your team across various schedules for internal logistics such as internal kick off meetings, team syncs, and more.
  • Join and take notes in both internal and external meetings to synthesize client needs, identify project action steps, and communicate internal project dependencies to team members. Meetings include: internal kick off meetings, team syncs, onboarding calls, and internal project syncs.
  • Support the Managing Director in pre-sales processes including: proposal and SOW creation, reviewing discovery calls, coordinating client communication and meetings, performing timely industry and client research.
  • Build presentations and other client-facing documents – opportunity for growth.
  • Manage all data within the CRM such as Hubspot, and ensure data is accurate and up to date
  • Manage internal logistics during project setup and delivery including: folder creation and management, document creation, client communications, etc.
  • Support project management processes as needed.

Requirements

  • Experience as an administrative assistant, office assistant or project manager.
  • Attention to detail including copyediting and presentation layout consistency.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Suite (Gmail, Sheets, Docs, Forms); Hubspot; Zoom; Slack;
    Dropbox.
  • Time management skills and the ability to prioritize work for multiple projects and
    team members.
  • Ability to multitask and work well in a fast paced environment
  • Able to identify workflow dependencies and to build out timelines accordingly.
  • Strong problem-solving skills.
  • Strong organizational skills with the ability to perform a variety of tasks.
  • Work well in a fast-paced environment.
  • Enjoy working with others and meeting new people.
